Account & setup
Start with the company, then build the structure your team uses every day.
Who can apply for Staylovia?
Staylovia is for registered hospitality companies, not individuals. An authorised company representative must provide a commercial registration number and a clear PDF, JPG, or PNG copy of the commercial registration, up to 5 MB. Applications without this document cannot be accepted. Documents are stored privately for review.
Can my company join now?
New company registration is temporarily paused. Our phased rollout grew from 50 to 100, then 200 companies. We are evaluating stability in the current 200-company phase before the next planned limit of 250 companies in total. Existing companies keep their access. You can join the waiting list; a reopening date has not yet been announced.
Does joining the waiting list give us access?
No. The waiting list records your company application for a future intake. It does not create a workspace, reserve a place, or guarantee acceptance. Commercial registration review and available capacity determine admission.
What happens after registration?
Verify your email using the message sent to your inbox, then follow the company approval screen. Your company details and commercial registration document are reviewed before access is approved. Once approved, the owner can set up buildings, room types, apartments, and staff access.
How should I organize buildings and apartments?
Create each building as a property. Add your own room types under it, then add the physical apartment codes belonging to each type. Keep virtual Overbooking rows separate; they do not increase the physical apartment count.
Can I add an employee without an email address?
Yes. In Team, the owner can create an employee with a username, a temporary password, and selected permissions. Share those details privately. The employee must choose a new password at first sign-in. Email invitations remain available for colleagues who use email.
Why can a colleague see fewer pages than I can?
Access depends on their company permissions and plan. The owner can grant staff access to reservations, operations, partners, or finance. Employees with task-only access open their task workspace after signing in.
I forgot my password. What should I do?
For an email account, use Forgot password on the sign-in screen. For a username-only employee account, ask your company owner to reset the temporary password, then choose a new password when you sign in.
Reservations & imports
Use the original supported report and review changes before saving.
Which booking sources can I import?
The import workflow supports specific CSV and XLS reports from Agoda, Booking.com, Expedia, and Trip.com. Upload the original downloaded file, choose the correct building, and inspect the preview. Other report layouts may need adjustment before they can be supported.
What should I check on a repeated upload?
Use the same building and source account reference. Review changed dates, statuses, cancellations, and amounts. Upload time alone does not prove a report is newer. Missing rows are not automatically cancelled.
Should each rate plan be a new room type?
No. Map variants such as a Studio non-refundable rate and a Studio flexible rate to your physical Studio type. Keep uncertain or mixed-room bookings unmapped until you can confirm their allocation.
What if the amount or room count is unclear?
Confirm what the reported amounts represent before using them as revenue. Keep unknown room counts unknown unless you have verified the report meaning. Unverified net amounts are identified in revenue reporting instead of silently treated as certain.
Can another system tell Staylovia which apartment a guest occupied?
Yes. Use the separate apartment assignment import with a supported XLSX file after importing the reservations. Select the building and review exact booking-number and apartment-code matches. This updates assignments and move history; it does not replace guests, dates, prices, status, or the original booked room type.
Why does an apartment assignment row need review?
Missing or ambiguous booking numbers, unknown apartment codes, changed stay dates, cancelled stays, incomplete multi-room allocations, and overlapping stays cannot be assigned automatically. Correct the matching details or handle those reservations individually. For a different physical room type, explicitly choose Upgrade when appropriate.
Stay calendar & room moves
See what was booked, where the guest is assigned, and what needs attention.
How do I move or upgrade a reservation?
Open the stay and choose Move / upgrade apartment, or drag an eligible booking to an available target. Review the destination. If its type differs, choose Upgrade or Room change and enter the required context before confirming.
Why is an apartment unavailable for a move?
The apartment must be available for the entire stay. Conflict checks include reservations hidden by your current filters. Archived or otherwise ineligible apartments may not be selectable.
What does a virtual Overbooking row mean?
It is a holding row for a booking that still needs a real apartment or a partner arrangement. It creates no physical inventory and cannot be marked as an upgrade.
Will an upgrade change the original booked type?
The original booked type remains visible alongside the current assigned type. The move record distinguishes upgrades from other room changes, so the team can understand why the assignment differs.
Can I choose the order of room types?
Yes. Use the calendar room-type ordering controls to arrange the groups in the order your team prefers. Your saved order keeps the layout familiar when you return.
Team tasks & housekeeping
Give each job a clear owner, next step, and record of what happened.
What work can I assign to my team?
Create a work order with one or more tasks, such as cleaning, maintenance, guest check-in, guest requests, inspection, or financial collection. Choose the building and apartment when relevant, add instructions and a checklist, and assign employees with the appropriate permissions.
Can I set cleaners for a whole building at once?
In Team & automation, choose the building, select its apartments, and apply a primary cleaner and optional backup cleaner. Both eligible cleaners can see an unstarted shared cleaning task. The first person to start claims it, so it leaves the other cleaner's active task list.
When do automatic cleaning tasks appear?
Enable checkout cleaning in Team & automation and keep reservations and physical apartment assignments current. The stay calendar creates eligible tasks within your configured planning window. Departure must be confirmed before turnover cleaning can start. An in-stay cleaning request needs the required guest entry permission.
How do employees update work or report a problem?
Employees open My tasks, start a job, complete its checklist, and submit the work. They can mark a task as blocked when they need help and report apartment issues with photos. Supervisor review applies when your operations settings require it.
Can employees see tasks from earlier days?
Yes. The task history keeps earlier assignments and progress available with date filters. Partner work has its own history, where employees can see their completed or cancelled partner assignments.
Does a collection task immediately count as paid revenue?
No. An employee records the collection for finance review. Review and reconcile the receipt with the relevant financial record so the same money is not counted twice.
Guest portal & services
Offer the services your company can deliver, at the right stage of a stay.
How does a guest sign in?
Enable Guest portal & services, then share your company-specific guest link. A guest enters the exact booking reference and arrival date for a confirmed reservation. They see their own stay details and available company services.
Can guests confirm their arrival?
Yes. On the recorded check-in date, an eligible guest can confirm arrival and check-in. The confirmation is recorded for the property team. It does not grant entry instructions or confirm that an early-arrival request has been approved.
Which services can I offer?
Your company chooses its service list, descriptions, service or price notes, and when each service is available. Examples include early check-in, makeup cleaning, luggage storage, or another guest request. Services can be limited to before check-in or during the stay.
What happens when a guest submits a request?
The request becomes a work order for your operations team, and the guest can follow its progress. A request is not a guarantee that a time or service is available. Your team reviews and fulfils it through the task workflow.
When do requests and guest access close?
New requests close at 12 noon on the checkout date, or earlier if departure is confirmed. The guest can view the stay until 6 pm that same day. Both times use the building's local time zone. Cancelled reservations or changed booking details can end the current session.
Why can a guest not request a particular service?
The service may be unavailable at that stage of the stay, disabled by your company, or dependent on a physical apartment assignment. In-stay services open after check-in is confirmed. The portal requires an active company with Operations tasks included in its plan.
Partner rooms & services
Agree how you share rooms and how another company can support your team.
How does Auto from stay calendar work?
It derives shared availability from the current calendar records and your configured room structure. You can set sharing limits and close selected dates to partners. Keep imports and apartment assignments current so the calculation reflects your operation.
Does a pending request hold inventory?
No. Requests and counteroffers do not hold a room. The system checks availability again at confirmation. A previously displayed room can become unavailable before the request is accepted.
Can different partners have different terms?
Yes. Set discounts, rate visibility, offer permissions, and Instant Take separately for each partner. Terms are directional: what you offer them can differ from what they offer you.
Where does an accepted partner stay appear?
A confirmed incoming partner booking is linked to a reservation and appears in the stay calendar. Its commercial agreement remains in Partner network, where relevant booking changes and payments are managed.
Can a partner company help with cleaning or guest services?
Yes. Both companies need an active partnership and Operations tasks in their plan. The receiving company first enables the kinds of work it accepts from you: cleaning, guest check-in, or guest requests. Send an eligible task with the instructions you want to share.
Who chooses the partner employee?
The receiving company's supervisor reviews the request and accepts it with an employee from their own team, or declines it. The assigned employee updates the work, and a supervisor can review the result. The original task stays linked to your company.
What can the partner see?
The task title, checklist, building, apartment, due time, and instructions you explicitly share. Partner task access does not open your reservation finances, guest contact details, or private work-order notes. Add any instructions the other team genuinely needs before sending.
Can I take a task back from a partner?
Before work starts, withdraw the request to return it to your own team. Once work has started, cancelling partner work also cancels the original task; coordinate with the other supervisor first. Source stay or schedule changes can stop delegated work and require a new task.
Revenue, expenses & payments
Choose the timing and allocation that answer your question, then inspect the underlying records.
Which revenue basis should I use?
Check-in includes eligible booking value when arrival falls in the selected period. Check-out uses departure dates. Daily spreads eligible value over occupied nights, excluding the checkout day, and includes the nights inside your selected period. These are revenue views, not proof of money received.
How do monthly rent schedules work?
Set a monthly amount, first month, optional last month, and due day. Each generated month has its own expense and balance. Shorter months use their last day when needed. Pause a schedule to stop future generation; create a new schedule when the amount changes.
How do I split a bill across apartments?
Choose Selected apartments, select their building, and tick the physical apartments. The total is split equally with exact cent rounding. Choose Whole building or General company cost when an apartment split would not represent the expense correctly.
What can I upload for receipt reading?
Use a clear JPG, PNG, or WebP image up to 8 MB. Compare the suggested details with the receipt, correct anything missing or inaccurate, choose the allocation, and confirm. You can enter details manually when extraction is unavailable.
Does recording a payment create another expense?
No. A payment reduces the expense balance; the cost is counted once. Partner payments also stay linked to their agreement. Money is paid through your usual external method, not transferred by Staylovia.
Why is a building report called allocated contribution?
Some general company expenses or partner room costs have no local building allocation. The filtered report shows the costs attributable to that building and identifies excluded amounts separately. Compare the company-wide view when reviewing the overall result.
Market data & recommendations
Use comparable evidence and keep its limits visible.
How do I start collecting market observations?
Review your competitor listings and room mappings, then enter observations or import the supplied CSV format. A permitted automated feed can be configured by the administrator. Adding a listing URL alone does not connect a collector.
Why is a quote excluded from comparisons?
A precise comparison needs matching search conditions, known mandatory fees, a compatible room mapping, and suitable freshness. Incomplete observations may remain in history while being excluded from comparable market metrics.
Does unavailable mean the competitor is sold out?
It describes availability for that particular search, not the competitor's full inventory. An unknown quantity stays unknown, and collection failures are never treated as sold-out evidence.
What happens when I approve a recommendation?
Staylovia records your decision and its supporting reasons. Approval does not automatically change prices on OTAs or in your partner network. Apply any chosen rate through the appropriate selling channel.
